How to protect files on OneDrive


Formerly known as SkyDrive, OneDrive is a cloud storage service from Microsoft in which it is possible to host and share with your contacts a series of files, such as folders, photos, videos and even Office documents (Microsoft 365).

If you want to protect your files inside the platform, know that it has a Personal Safe, which adds an extra layer of security and is blocked after a period of 20 minutes of inactivity. In addition, Microsoft 365 subscribers can still keep their shared files more secure by requiring a password to access them.

Using the Personal Safe or requiring a password to access a file shared on OneDrive is a very quick and practical process. Check out the step by step below!

How to protect files on OneDrive with your personal safe

Step 1: via a web browser, access the OneDrive home page and double-click on the “Personal Safe”.

Step 2: in the pop-up that opens then click on “Next”.

Step 3: Verify the identity of your Microsoft account by clicking “Verify”.

Step 4: Use Microsoft Authenticator or your mobile phone to perform 2-step verification. For this example, we chose the cell phone.

Step 5: enter the code received by message or displayed in Microsoft Authenticator in the indicated field and click on “Verify”.

Step 6: You now have access to your OneDrive Personal Vault. To add files to it, drag them from the PC to the page, or click “Move files”, to move folders that already exist in your account.

Step 7: select the files you want to move and click on “Move items”.

Step 8: now, your files will be protected inside the Personal Safe. Be aware that it will be blocked after 20 minutes of inactivity and you will need to run the 2-step verification again to access it.

Step 9: to remove a file out of the Personal Safe, right-click on it and click on “Move to”, or click on the same item in the top menu.

Step 10: select the destination folder in the right side menu and click on “Move” to finish the process.

How to password protect OneDrive files and folders

If you are a Microsoft 365 subscriber, you are entitled to use the function of requiring a password to access the files you are sharing.

Step 1: through a web browser, access the OneDrive, locate the folder you want to protect with a password, right-click and select the item “Share” or click the same item in the top menu.

Step 2: in the pop-up that opens then click on “Anyone with the link can edit”.

Step 3: enter the password in the indicated location, make other changes, if necessary, and click “Apply”.

Step 4: Finally, complete the file sharing process by entering contacts or copying the link and click “Send”.

Ready! You can now protect your OneDrive files in two different ways.
